Registration Fee

Submitting the electronic Registration Form is required if you wish to participate in the Forum and have your oral or poster presentation included in the Forum schedule.

The deadline for registration: January 15th, 2023.

The Forum participation fee is € 300. The fee must be paid during the electronic registration. This covers participation in all presentations, coffee breaks, lunches, welcome reception, one dinner and a field trip. The fee includes the later delivery of the electronic version of the “Forum Book”, as well as a “14th Forum Bag” which includes some gifts. The electronic abstract book can be downloaded during the Forum.

Forum participation online is possible for all other participants that are unable to travel. The online fee is € 150.

Please remind: Participants that have only registered and not paid will be deleted from the registration

Visa requirements

Please note that all travelers to Spain with foreign passports must apply for a Schengen Visa https://www.schengenvisainfo.com/spain-visa/ or the closest diplomatic representation of Spain, prior to making travel arrangements.

Please contact the nearest Embassy or Consulate of Spain to check your visa requirements, the average time for obtaining a visa can be from two to four months from the date of the application.

After the registration fee has been received, each participant may request an invitation letter for visa issuance. For this purpose, the Spanish Consulate in your home country may need a collection of documents which can take a while.

More extended information will be published in the second announcement.

Travel and Accommodation

The Organizing Committee will provide the contacts of the different accommodation options to facilitate the booking. A list of hotels of different prices will be included when available.

Passengers arriving from non-EU or non-Schengen zones need to fill in the Spain Travel Health form (SpTH) before entering the country. Please note that this information may change till the congress date, and we ask you to visit the official Spanish website for the latest updates. You can also use this link as a guidance for documentation you need to enter the country.

Cancellation policy

If cancellation of your registration becomes necessary, you may send written notice to the 14th International HCH & Pesticides Forum to john.vijgen@ihpa.info.

Cancellations made by February 1st, 2023 will be accepted. A 50 € administrative fee will be assessed on all cancellations. Confirmed registrants who do not attend the conference or who cancel after February 1st are responsible for the entire registration fee. Attendee substitutions, however, may be made at any time. Should extenuating circumstances arise which result in your registration cancellation, exceptions to the cancellation policy can be made on a case by case basis.
